Organising an event - some do’s and don’ts
published May 2003
Holding a seminar, cocktail party, launch, or any other event, can be a highly effective way of communicating with customers, building relationships with the media, and raising your organisation’s profile.
However, it can also be an extremely stressful undertaking, with a number of considerations such as the best kind of venue, the timing, and the invitation list to think about.
Amongst all these concerns, there are often a number of smaller factors that can slip through the cracks. While hiring an event organiser to help you could be the best solution, here is our list "do’s and don’ts" that are too often overlooked:
Don’t forget to make up nametags for your own people or VIPs - it’s all too easy to make them up for the guests and forget yourself! Also, do take blank nametags and a marker pen along so you can make up tags on the spot if required.
Do remove any remaining nametags from the front table once the event has started, so that guests can’t see who hasn’t turned up.
Do choose vegetarian options for canapés, so that all guests can have something to eat. It can also be a good idea to avoid anything containing nuts, just in case.
Don’t choose a date or time for your event that could cause conflict. Check any sporting events, or public holidays, that could affect people attending your event, and the media covering it.
Do get banners and signage made up to display at the event, if you don’t already have them. They can be used in the future at trade events or seminars that you are involved in.
