Example of a Commissioning Process
STEP ONE- What are you Looking For?
Early communication before quotes/detailed concepts are discussed.
The purpose of this meeting or discussion is to determine what ideas or framework the organisation already has in place.
For an idea of the QUESTIONS WE MAY WANT TO ASK please click this link.
We might also discuss some ideas for a process specific to the project at this point. It is often useful for an organisation to have a rough idea of how long different aspects of the production are likely to take, and have a procedure in place to allow gentle monitoring (such as regular exchange of emails/photographs/etc) to make everyone feel secure that the project is moving steadily forward as planned.
STEP TWO- The Tendering Process
Once we have enough information from you, we can produce a quote. We understand that most publicly funded organisations have to embark upon a tendering process at this point. If you have any questions or need any clarification concerning the quote, we are more than happy to assist. If the commission is for a full-length performance, Monsters and Mayhem will often ask for staggered payment so that early production costs can be met. This will often involve an initial part payment, a payment on the viewing of an early performance, and then a final payment. The timing of each payment will be discussed and agreed upon by Monsters and Mayhem and the commissioning body, and will generally coincide with some demonstrable outcome (such as the completion of a script, the commencement of rehearsals, etc). STEP THREE- Meeting and Agreeing
Once a quote is accepted, a meeting takes place with a more detailed proposal from Monsters and Mayhem regarding the piece. This may include the production of a script or plot outline, character sketches, and an idea for the set design. This is then discussed and if agreed on, the production can commence. If not, we will go away and come back with more ideas/altered ideas to another meeting. It is important that this meeting happens promptly as the project cannot begin production until key points such as story ideas and the general aesthetics of a show are agreed.
STEP FOUR- We Work!
Monsters and Mayhem then goes into production. A script is written, the build commences, whatever is necessary to create the end result. During this time, there may be an exchange of emails with some photos of the process (if the process involves building set/puppets/costumes/etc) and a meeting to discuss the first draft of the script (perhaps even a one-person script reading for relevant staff). The earlier in the process any comments are made regarding changes or suggestions, the better. It becomes more difficult to alter aspects of the production the closer we are to performance. Changing a drawing is easier than remaking a puppet (one may take a couple of hours, the other ten days) and changing a story outline is easier than rewriting an entire script. We welcome comments and input- the earlier the better!
STEP FIVE- Rehearsal
We have the script, the set, and any costumes, music, props or puppets we require. We can now rehearse! Depending on what has been agreed by both parties, initial rehearsal can take place in a space within the museum, or elsewhere. Generally we will need access to the performance space at least two days prior to the first showing. The relevant staff member/s will be welcome to come to the rehearsal at agreed points (for example, during a specific run-through, or for a dress rehearsal).
STEP FIVE AND A HALF- Trial performance/s
Monsters and Mayhem understands that different organisations will have different procedures- often involving a performance for staff, and perhaps a trial performance for an audience- before the commencement of a full run.
STEP SIX- The Performance
The show begins! Any problems that occur can be discussed and solved as required. Audiences have fun, people are impressed, publicity is generated, everyone feels good!
STEP SEVEN- After-words
After a production, we would love to chat about your experiences of the process. This hopefully helps both Monsters and Mayhem and the commissioning organisation to discuss the high points and address any problems encountered. We are obviously keen to develop ongoing relationships with organisations and would like to ensure that the process of creating theatre has been enjoyable and rewarding for museum/gallery visitors and staff alike!
